Identify the composition

Provide the manufacturer’s material specification and details of any coating or surface finish. Items described with the same everyday name can behave differently under a laser. Do not treat an unknown product as approved because a visually similar item was engraved at another event.

Review the usable area

Curves, seams, handles and other features can limit placement or require a specific setup. Share the intended design at actual size. A sample review should address legibility and position on the object, not just the artwork on a screen.

Coordinate the setting

The venue must be suitable for the approved equipment and operating requirements. Discuss ventilation, crew access and separation between guests and the working area. Product approval and venue approval are distinct parts of the event plan.

Illustrative planning scenario

Example: the catalog says metal, but the coating is unknown

A product description identifies the base material but not its coating. That is an open specification question, not permission to proceed. Obtain the manufacturer’s details and a product review before placing it into an event engraving workflow.

A working decision sheet

Keep material suitability, appearance and venue requirements as separate approvals. An attractive digital concept answers none of those questions on its own. If the exact product cannot be identified, discuss an approved alternative rather than treating guest-supplied items as equivalent. Merch Troop and the relevant venue contacts should define the actual equipment and operating requirements for the event.

Put it into your brief

  • Can you provide the exact product and manufacturer specification?
  • What appearance and placement should the sample demonstrate?
  • Who coordinates the venue’s equipment review?

Use these questions to record the decisions you already know and identify what needs review. Keep the brief with the current product specifications and event documents.
