Choose the format

Decide whether the experience offers initials, a first name or another short approved detail. Set the available type treatment and placement. The supported character set and length should be confirmed with the production team for the actual item.

Make proofing visible

Give the guest a clear chance to confirm spelling and capitalization before the item is produced. A verbal request alone can be difficult to interpret in an event environment. Keep the confirmed text connected to the correct item and collection reference.

Separate concept from sample

A digital layout preview helps discuss position and hierarchy, but it does not predict the engraved color or texture. Show the approved physical finish wherever possible. If the product changes, review the sample again rather than assuming the same appearance.

Illustrative planning scenario

Example: a longer name needs a different layout

A guest’s name exceeds the approved layout’s text limit. Do not silently shrink it until it becomes difficult to read. Offer the agreed initials or shorter-format alternative, or ask the designated approver to review the request before production.

A working decision sheet

The text menu should describe what is supported on the actual object. An online concept can help discuss hierarchy, but it cannot establish engraved contrast, texture or safe material use. Give the guest a clear confirmation step and keep the final text with the order reference. Record the allowed alternatives so the team responds consistently.

Put it into your brief

  • Which text format and character set are supported?
  • What alternative is offered for a name that does not fit?
  • How will guests confirm spelling and capitalization?

Use these questions to record the decisions you already know and identify what needs review. Keep the brief with the current product specifications and event documents.
